10 Safety Tips for Supply Chain Employees Traveling Abroad

Supply chains are global, interconnected networks. It’s only natural, then, that supply chain employees must occasionally travel abroad. Whether it’s for meetings with international partners, inspecting remote warehouses or something else, international travel is a standard part of supply chain management.

While traveling abroad may be an industry standard, it can still pose some risks. In light of those risks, here are ten tips for supply chain employees to stay safe while traveling.

1. Research the Destination

The first step to any international trip is to research the destination. Different countries have different laws and regulations, so employees should know these ahead of time to avoid complications. For example, international COVID-19 travel requirements may differ from the U.S., some resulting in denial of entry for failure to meet them.

Employees should also research cultural taboos to avoid and local crime statistics. Learning a few key phrases in the native language can be helpful, too.

2. Create Backups of Essential Documents

Employees traveling abroad will likely have various important documents with them. In addition to their passports and IDs, they may have hotel reservations, health information or contracts and other work-related documents. Losing these could have severe consequences, so it’s best to have backups.

Employees should have both paper and electronic copies of all their essential documents. Travelers should store digital copies on secure, encrypted cloud services to keep them safe from cyberattacks. Keep in mind, though, that some countries restrict imported encryption software, so employees should ensure their encryption service is legal first.

3. Arrange All Travel and Lodging Ahead of Time

Transportation and lodging are some of the most potentially risky parts of international travel. The best way to prevent any costly mistakes with these considerations is to organize them before leaving. As employees research their destination, they should also find safe, trusted transportation services and hotels and reserve them ahead of time.

When employees are in a new country, it may be difficult to understand which transport services or lodging options are the safest. Looking them up ahead of time gives time to read reviews and get a better understanding of the situation. Reserving them then ensures they don’t have to worry about making arrangements once there.

4.  Don’t Trust Public Wi-Fi

While physical security might be more prominent, cybersecurity is also a concern during international travel. As employees travel, they’ll likely encounter many public Wi-Fi networks in airports and hotels. These networks are often not as secure as they should be, so it’s best to avoid them.

If workers must use public Wi-Fi for work purposes, they should use a virtual private network (VPN). VPNs encrypt internet traffic and hide devices’ IP addresses, helping protect users on networks with minimal other defenses. Employees should also avoid clicking unsolicited links, visiting unencrypted websites or entering personal information on these networks.

5. Keep Essential Items Separate

Travelers often keep items like wallets, passports and cellphones close together for convenience. While this is certainly convenient and can feel safe, it could pose a greater threat than people realize. If everything is in the same area, pickpockets or other criminals could steal them all at once.

Keeping essential items separate helps mitigate this problem. If a criminal does steal from someone’s pocket or cuts into part of their bag, the victim won’t lose everything. Consider storing passports, wallets and other essential items in different parts of a bag or keeping them in different pockets.

6. Choose the Right Type of Luggage

Some bags are easier to break into than others, so traveling employees should keep this in mind. For example, hard-sided security bags are virtually impervious to thieves, while soft bags are vulnerable to cuts and tears. If workers bring any valuable items or documents with them, they should consider using harder bags.

Similarly, bags with multiple latches and places to put locks are ideal. While it may be less convenient, if it’s harder for an employee to get into it, it will be harder for a thief, too. Some bags may even come with hidden pockets where workers can place particularly sensitive items and documents.

7. Try to Blend In

When employees reach their destination, they should try not to stand out. Criminals may target people who look like tourists or seem unfamiliar with their surroundings, as they make easier targets. Blending in with the locals helps pass under the radar of would-be thieves.

Part of blending in is simply avoiding being flashy. While an expensive suit and a gold watch might impress potential business partners, they also communicate to criminals that someone is a valuable target. While not in meetings, employees should dress casually, adopt the behaviors of locals and try to avoid looking lost or surprised.

8. Share Itineraries

Another best practice for traveling safely is to share itineraries with other trusted parties. When an employee goes abroad, they should give their manager or another colleague a copy of their flight and meeting schedule. That way, they can check on delays or other disruptions without having to contact the traveler.

It may also be a good idea to share some of these details with anyone the employee is meeting. That way, if they miss an appointment, the others in the meeting will know something is wrong and can help address the situation.

9. Stay in Contact

Along those same lines, it’s important to stay in contact with people back home. Whenever an employee lands, boards a flight, checks in to their hotel or hits any other points on the itinerary, they should let someone know. This gives companies peace of mind and helps them respond to any potential risks faster.

If an employee doesn’t check in by the time they should, the company will know something may be wrong. They can then look into the situation sooner, even if it’s something as mundane as a delayed flight.

10. Consider Insurance

Finally, businesses should consider getting travel insurance for their employees. Since 15% of international travelers encounter a medical issue while abroad and many people have ongoing medical needs, ensuring they’re insured is crucial. Many U.S. health insurance plans don’t apply internationally, so travel insurance may be necessary.

On top of covering travelers’ baggage, travel insurance often includes short-term healthcare coverage. That way, if something happens to them or they need to care for ongoing needs, they can do so affordably.

International Travel Doesn’t Have to Be Risky

Traveling abroad can seem intimidating, but proper preparation mitigates risk. If supply chain employees follow these ten tips, they can stay safe no matter where they go. They can then accomplish what the company needs without worry.

breakbulk americas

BREAKBULK IS BACK: AFTER PANDEMIC HICCUP, BREAKBULK AMERICAS RETURNS TO HOUSTON

After missing 2020 due to the COVID-19 pandemic, Breakbulk Americas is returning in September.

“This event from September 28 to 30 is all about getting together as an industry after a very long two-year break,” says Leslie Meredith, Marketing and Media Director for the event. “Breakbulk Americas is the first Breakbulk event to return to the market post-pandemic. We are working very closely with the City of Houston and the George R. Brown Convention Center to make sure that this is a safe experience for all.”

You might say Breakbulk Americas has gotten a shot in the arm.

“Fortunately, the vaccine rollout has been very efficient and Americans are able to move around with a great deal of freedom, which bodes well for the event this fall,” Meredith says.

Safety for all involved is paramount for event organizers, Hyve Group. In January, Visit Houston, the city’s entity that governs events and tourism, outlined its exceptional safety measures that will be in place for the event along with other improvements to support the region’s top event for the project cargo and breakbulk industry.

John Solis, senior vice president of Sales & Client Services at the George R. Brown Convention Center (a.k.a. GRB Center), said in a communiqué to Breakbulk, the convention center has made significant enhancements to its facility. The GRB Center is the first convention center in the world to deploy the Integrated Viral Protection (IVP) system, which deploys biodefense filtration technology proven to eliminate SARS-CoV-2 (99.999%) and other airborne contaminants.

In addition, a new virtual studio inside the GRB Center will provide flexibility to maximize opportunities for hybrid experiences. This feature will allow Breakbulk to host remote expert speakers should that be necessary due to travel or budgetary considerations, along with its in-person industry panelists.

A third enhancement will be permanent thermal scanning stations located at all entry points that can process up to 100 guests per minute, ensuring no delays to access the exhibition floor.

The new features complement Hyve’s own safe and secure program that is applied to all Hyve events.

At the last Breakbulk Americas convention in 2019, more than 4,800 attended, which has made Breakbulk Americas the region’s largest and most influential event across Canada, the U.S., Latin America and the Caribbean for all those involved in the project cargo and breakbulk community.

Meredith said organizers have “some exciting plans for Breakbulk Americas to fuel networking for new business opportunities, which has never been more important. The traditional welcome reception held Tuesday evening at the GRB Center will embrace the spirit of Texas as thousands gather for the Reunion at the Breakbulk Saloon. The entire exhibition floor will be decked out Western-style with ‘watering holes’ (themed bars) throughout the hall.”

Leading up to the reunion will be an exclusive Executive Summit for C-level exhibitors and shippers to tackle post-COVID recovery together. On a lighter note, all attendees are invited to participate in the 2021 Maritime Workers Emergency Medical Fund Golf Tournament at the Hermann Park Golf Course in Houston.

The first full day of the exhibition and conference begins on Wednesday, Sept. 29, continuing through Thursday afternoon, Sept. 30. On the main stage, industry leaders will present a wide range of insights on the evolving impact of COVID on business and projects, President Biden’s infrastructure plan, U.S. offshore wind project opportunities, the carrier sector, women in breakbulk on tackling the imposter syndrome and the effects, both long term and short term, of the greening of the oil and gas supply chain.

Meredith said that “an integral part of Breakbulk Americas is contributing to the next generation of transport and logistics professionals, which we do through the Jerry Nagel Education Day and guided tours of the exhibition floor. With strong ties to Texas universities and beyond, Breakbulk typically hosts around 200 students and their instructors at this introduction to the industry and to its leaders. Education Day will be held on Thursday.”

(Agenda: https://americas.breakbulk.com/business-programme.)

Breakbulk Americas attracts new exhibitors annually, but there are many who make it a “must” event, like the Port of Baltimore.

“Breakbulk cargo is a very important subject matter for the Port of Baltimore and Breakbulk Americas is a must-attend conference,” says William Doyle, executive director of the Maryland Port Administration. “Last year, Baltimore handled more than 173,000 tons of breakbulk cargo, which was a 23% jump over 2019 and so far this year we are up 4% over last year.”

Doyle continued: “We regularly handle power and heat steam recovery generation machinery, wind turbine equipment, transformers and other energy production equipment. We also serve as a major gateway for breakbulk premium fresh fiber paperboards, including folding boxboards, food service boards and white kraftliners, especially since the e-commerce boom.”

He noted that his facility’s “excellent geographic location to states like Pennsylvania, West Virginia and Ohio allows Baltimore to be an ideal port for handling breakbulk cargo destined to those states. Baltimore also has two, heavy-lift cranes and direct-to-rail capabilities. The Breakbulk Americas conference allows us to meet and connect with our current breakbulk customers and seek out opportunities with prospective customers. We will have our breakbulk sales representative Rick Pagley at the event.”

For Barnhart Crane and Rigging in Fairhope, Alabama, “there is really no greater opportunity to connect and network with those involved in the heavy transport and project cargo industry than Breakbulk Americas,” says Chris Teague, Barhart’s director of Marketing. “Barnhart has been committed to this event for years because it has always borne fruit. As a national company with 50 locations across the U.S., Breakbulk is the one event for which our sales team can gather and engage with customers, vendors and key influencers within the industry. Year-after-year, all Breakbulk Americas attendees and exhibitors can always be guaranteed to interact with the (pun intended) movers and shakers in the industry.”

Ken Carey, manager, Business Development, with the St. Lawrence Seaway Management Corp., says “Highway H2O has been attending this event for many years. We find the quality of the event, the attendees and the other exhibitors to be world-class.”

Carey adds that, “Given the bi-national scope of the Seaway-Great Lakes transportation system, we also enjoy the opportunity to meet new contacts and expand on relationships we have developed over the years.”

Convention exhibitor Port Tampa Bay looks at Breakbulk Americas as key to its business, according to Wade Elliott, the port’s vice president of Business Development.

“We are Florida’s largest port for steel cargo and have been receiving increasing volumes of breakbulk lumber, thanks to a new service which was launched last year,” Elliott says. “Breakbulk Americas provides a great networking forum for us to meet with the carriers, importers and exporters and coordinate plans to serve our growing market, in particular the Tampa/Orlando I-4 Corridor, Florida’s distribution hub.”

Annual Breakbulk Americas attendee Wolfe House Movers/Buckingham Heavy Transport has between two and four company members at the event, says Anna Brovont, the Bernville, Pennsylvania, company’s marketing administrator.

“As a heavy haul transporter, we have found that Breakbulk Americas has been integral to our business in bringing us an opportunity to discuss their interests with our clients, expand our networks and stay abreast of developments within the industry,” she says. “We do some business but use Breakbulk Americas primarily to touch base with clients.”

Breakbulk Americas Returns Live and In-Person to Houston

Breakbulk Americas, the region’s largest trade event for the project cargo and breakbulk industry, will return to the George R. Brown Center in Houston, Sept. 28-30 this fall. Since the first Breakbulk Americas held more than 30 years ago, nothing stopped the show—not Hurricane Katrina or Hurricane Harvey—until the COVID-19 pandemic when most offices closed, employees worked from home and travel was nearly non-existent. No large events were held in 2020, but 2021 presents a vastly different scene in the United States. Breakbulk Americas will be the first Breakbulk event to be held since the shutdown of March 2020.

Enthusiasm and interest in the show are running high. Breakbulk Americas will welcome back global sector leaders including DHL Global Forwarding, MSC Mediterranean Shipping Company, CMA CGM, Kuehne+Nagel, AAL Shipping, bremenports, Goldhofer Aktiengesellschaft, Liebherr and Bahri. New and notable to the show floor this year are Volvo Penta and Airbus, household names in the industrial manufacturing sector.

This September’s event is all about getting together as an industry after a long and unwelcome break. Fortunately, the vaccine rollout has been very efficient, and Americans are able to move around with a great deal of freedom, which bodes well for the event this fall. However, international travel remains uncertain. Breakbulk organizers are monitoring the global situation and will add remote coverage of the event if necessary for those unable to travel. We are working very closely with the City of Houston and the George R. Brown Convention Center to make sure that this is a safe experience for all.

Safe and secure

In a personal email to Breakbulk Americas organizers, Visit Houston, the city’s entity that governs events and tourism, has outlined its exceptional safety measures that will be in place for the event along with other improvements to support the region’s top event for the project cargo and breakbulk industry.

“Our city and team are vested in your success and are constantly seeking innovative ways to enhance your experience,” John Solis, Senior Vice President of Sales & Client Services at the GRB, said in a communiqué to Breakbulk. He said the convention center has made significant enhancements to its facility, including:

The George R. Brown Convention Center is the first facility in the world to deploy the Integrated Viral Protection (IVP) system. This is the world’s first biodefense filtration technology proven to eliminate SARS-CoV-2 (99.999%) and other airborne contaminants, and was recently awarded the 2020 Emerging Technology Award by The
American Society of Mechanical Engineers (ASME), Solis said.

In addition, a new virtual studio inside the convention center will provide flexibility to maximize opportunities for hybrid experiences. This feature will allow Breakbulk to host remote expert speakers should that be necessary due to travel or budgetary considerations, along with its in-person industry panelists.

The new features complement Hyve’s (the Breakbulk event series parent company) own Safe & Secure program that is being applied to all Hyve events around the world, including Breakbulk Americas, Breakbulk Europe and Breakbulk Middle East.

Networking first

The Breakbulk team has conducted extensive customer research around expectations for Breakbulk Americas, and the message has been both unanimous and clear: after the event hiatus, networking is the most important feature of the event. Participants want to meet in person, catch up and explore new business opportunities. And Breakbulk Americas has an enhanced plan for that.

The traditional welcome reception held Tuesday evening at the GRB will embrace the spirit of Texas as thousands gather for the Reunion at the Breakbulk Saloon. Indeed, the entire exhibition floor will be decked out Western-style with “watering holes” (themed bars) throughout the halls. A dedicated shippers lounge will be a hub for EPCs, manufacturers, energy companies and other cargo owners to meet with one another and schedule meetings with exhibiting service providers.

Leading up to the reunion will be an Executive Summit for C-level exhibitors and shippers to tackle post-COVID recovery together, and on a lighter note, all attendees are invited to participate in the 2021 Maritime Workers Emergency Medical Fund Golf Tournament at the Hermann Park Golf Course in Houston.

The first full day of the exhibition and conference begins Wednesday morning, continuing through Thursday afternoon. On the main stage, industry leaders will present a wide range of insights on the evolving impact of COVID on business and projects, Biden’s infrastructure plan, U.S. offshore wind project opportunities, the carrier sector, Women in Breakbulk will tackle how male co-workers can be better allies, and the effects—both long term and short term—of the greening of the oil and gas supply chain. There will also be a gathering for Breakbulk Veterans, industry leaders from all sectors with 20 or more years of experience. In the lead-up to the event, our
news team will continue to cover these topics both on the website and throughout the pages of Breakbulk magazine.

While serving current industry professionals is critical to our mission, Breakbulk is also committed to fueling the next generation of transport and logistics professionals, and 2021 presents an unprecedented need to attract young people to the industry. On Thursday, Jerry Nagel Education Day, a half-day program to introduce students to the industry followed by guided tours of the exhibition floor led by the Exporters Competitive Maritime Council, will be held. With strong ties to Texas universities and beyond, Breakbulk typically hosts around 200 students and their instructors at this introduction to the industry and to its leaders. This program is free to educators and students.

Registration is now open with early bird pricing through July 31, 2021.
